What an AI CRM is

A CRM keeps your customers in one place: who they are, every text, call and email, what they bought and what happens next. An AI CRM adds an assistant that can read all of that and do part of the work with it.

That last part is what separates it from a CRM with a chat box bolted on. The AI has to be able to act on your real records, not just talk about them, and you have to be able to see what it did.

What the AI actually does

These are the jobs AI handles well today, with how each one works in AttackDesk.

  • Keeps your contact list honest. When a lead texts back STOP or asks to be taken off the list, AttackDesk turns on Do not text for that contact by itself, so nobody on your team texts them again by mistake.
  • Fills in records for you. It imports contacts from a spreadsheet or straight from GoHighLevel, matches people to their companies by email, and adds notes and to-dos as it goes.
  • Answers questions about your customers. Ask which deals are stuck, who a contact is, or what was said last time, and it searches your records instead of guessing.
  • Moves the work along. It books appointments, moves deals to the next stage and assigns contacts to the right person.
  • Does the research behind your marketing. Keyword research, rank tracking, site audits and your Google Search Console numbers sit in the same workspace as your customers, so the AI can work on both without you copying data between tools.

What makes an AI CRM agentic

A chatbot answers questions. An agent gets a job done: it takes a goal, works out the steps, uses tools on your real records, checks what happened and keeps going until it's finished. An agentic CRM is one built for that kind of AI. It needs three things.

  • Tools on your real records. The AI has to be able to look up a contact, add a note, move a deal and book a time, not just describe how you would. AttackDesk gives AI agents 90 of these tools.

The models that do this work keep getting cheaper and more specialized. Build sections for your own business

Every business runs a little differently. A pool company thinks in routes and chemical readings. A contractor thinks in jobs, change orders and inspections. Most CRMs give you the same screens as everyone else and let you add a few custom fields. HubSpot, for example, keeps custom objects to its Enterprise plans.

At the Skool Games Q1 2026 event, Alex Hormozi said his team now sells with an AI sales rep over text, after two years of trying to make voice work. He said it was trained on 14,000 sales calls, tells people it's AI in its first message, and follows up 30 and 45 days later with a testimonial matched to the person's business. His verdict: "it converts the same percentage as the sales team does" (watch from 28:23).

What makes an AI rep work:

  • It's upfront. It says it's AI. Hormozi's team does that in the first message, and he says no one notices.
  • It never drops a follow-up. Plenty of sales die from silence, not from a no. An AI rep checks back weeks later, with the testimonial or answer that fits.
  • It knows the customer. It reads the contact's history in your CRM before it writes, so it doesn't ask what they already told you.
  • It works inside your limits. You decide what it can promise, which discounts it can offer and when it hands a conversation to a person.

If your team mostly works in email and you're happy with the screens a big CRM gives you, Salesforce or HubSpot can do the job. If you want the CRM to fit how your business actually runs, pick one you can change.

Is AI replacing the CRM?

No. It's making the CRM more important. An AI chat on its own starts from zero every time: it doesn't know who your customers are, what you promised them or what happened on the last call. The CRM is where that lives.

What's changing is who does the typing. Instead of you updating records after every call, the AI does it, and you check its work. The records still have to be somewhere you own.

How to pick an AI CRM

  1. Can you see what the AI did, and set its limits? Every message it sends should land on the customer's record, and you should decide what it can do on its own.
  2. Does it show the price per task? Per-text, per-minute and per-model prices are a good sign. A vague "AI credits" bundle makes it hard to know what you're paying for.
  3. Do you own the data? You should be able to export everything and take it with you.
  4. Can your own AI work with it? If you already use Claude or ChatGPT, an MCP connection or API lets that AI use your CRM directly.
  5. Can you change it to fit your business? Custom fields are a start. Being able to add whole screens and workflows is better.
  6. Does it cover how your customers reach you? For most local businesses that's texts and calls, not just email.
